VoipXDialer LLC (“VoipXDialer”, “we”, “us”) provides cloud voice services. This policy explains what personal data we collect through this website and our platform, why we collect it, how long we keep it and what rights you have over it.

Information we collect
Information you give us
- Contact details submitted through our enquiry or free-trial forms — name, email address, phone number and company.
- The content of your message, including any details you choose to share about your operation.
- Account and billing details if you become a customer.
Information collected automatically
- IP address, browser user agent and referring URL, recorded with form submissions to help us detect abuse.
- Standard server logs generated when you visit the site.
- Analytics data, where analytics is enabled, in aggregated form.
Service data
When you use our platform we process call detail records, and — where you have enabled recording — call audio. This data is processed on your instructions as a processor; you remain the controller of your own customers' data and are responsible for having a lawful basis to collect it.
Why we process it
- To respond to your enquiry — our legitimate interest in answering people who contact us.
- To provide the service — performance of our contract with you.
- To protect the platform — our legitimate interest in preventing fraud, abuse and spam.
- To meet legal obligations — including telecoms regulation, tax and accounting requirements.
How long we keep it
Enquiry records are retained for up to 24 months from the last contact. Customer account and billing records are retained for as long as required by law, typically seven years. Call recordings and CDRs are retained according to the retention period configured on your account.
Who we share it with
We do not sell personal data and we do not share it for third-party marketing. We share data only with:
- Infrastructure and carrier partners strictly as needed to route and deliver calls.
- Service providers who support our business (hosting, email delivery, payment processing) under contract.
- Authorities where we are legally required to do so.
International transfers
We operate points of presence in multiple regions, so data may be processed outside your country. Where required, transfers are protected by appropriate safeguards such as Standard Contractual Clauses. Enterprise customers can request specific data residency arrangements.
Security
Signalling is protected with TLS and media with SRTP where enabled. Recordings are encrypted at rest with role-based access control. Access to production systems is restricted, logged and reviewed. No system is perfectly secure, but we treat voice data as sensitive by default.
Cookies
This site uses a session cookie required for security (CSRF protection) and, where analytics is enabled, analytics cookies. You can block cookies in your browser, though the contact forms will not work without the session cookie.
Your rights
Depending on where you live you may have the right to access, correct, delete or port your personal data, to object to or restrict processing, and to withdraw consent. To exercise any of these, email mike@voipxdialer.org. We respond within one month. If you are unhappy with our response you may complain to your local data protection authority.
Children
Our services are sold to businesses and are not directed at children. We do not knowingly collect personal data from anyone under 16.
Changes to this policy
We update this policy when our practices change. The date at the top reflects the most recent revision, and material changes will be notified to active customers directly.
